How to Export HubSpot Data

How to export HubSpot contacts

Exporting data from HubSpot requires a keen understanding of the HubSpot dashboard and a clearly defined objective. You certainly have the option to export all contacts from HubSpot, but doing so isn’t always the right move. By identifying which contacts you want to export at the outset, you can filter your data to ensure you’re exporting only the most relevant information.


To export your contacts from HubSpot, follow these steps:


  1. Click on the “Contacts” tab in the top left of the HubSpot dashboard
  2. Use the filter button to fine-tune your list — for example, you may want to distill a list of 1,000 customers into a list of 200 customers who all work in the same vertical
  3. Once the data has been filtered, click the “Table actions” button
  4. Select the file format you wish to export
  5. Decide whether you want to export all emails for selected contacts
  6. Select “Include only properties in columns” or “Include all properties” (more on this below)
  7. Hit “Export”


Whether you select “Include only properties in columns” or “Include all properties” depends on your objective. When you choose “Include all properties,” HubSpot exports every piece of data associated with the contacts in your HubSpot account. This can result in a spreadsheet containing hundreds of columns of data, many of which you don’t need.


To avoid this, we encourage you to select “Include only properties in columns” when exporting. This will ensure you export a targeted list of HubSpot data that you can use to bring your marketing and sales goals to life.

How to export HubSpot deals

Because deals help track revenue potential, many sales professionals like to export and analyze them on a regular basis. Fortunately, exporting HubSpot deals is very similar to exporting HubSpot contacts. To export your deals from HubSpot, follow these steps:


  1. Click on the “Sales” tab in the top left of the HubSpot dashboard and select “Deals” from the drop-down menu
  2. Click on “Board actions” on the right side of the screen and select “Export view”
  3. Choose the file format
  4. Select “Include only properties in columns” or “Include all properties”
  5. Hit “Export”


Once again, you’ll need to choose between “Include only properties in columns” and “Include all properties” when exporting deals. It’s generally a best practice to export only the properties contained in your HubSpot columns to avoid winding up with an unwieldy spreadsheet.

How to export HubSpot emails

Exporting emails from HubSpot is as straightforward as exporting HubSpot contacts and deals. To export emails, follow these steps:


  1. Click “Marketing” in the top left corner of the HubSpot dashboard then select “Email” from the menu that pops up
  2. Click the “Export emails” button on the right
  3. In the box that appears, enter the email address of the person you want to send this export to (most often, this will be you)
  4. Select your preferred file format
  5. Choose if you want to export “All emails” or “Emails sent within a custom date range”
  6. Select one, both, or neither advanced options
  7. Click “Export”
